What happens during AI analysis?

The user scans or imports a contract. OCR runs locally where supported by the app and platform. When the user starts AI analysis, the app sends extracted OCR text and related metadata to api.appfabrik-ai.de. The gateway forwards the analysis request to OpenAI API for contract extraction. The result returns as structured data, for example deadlines, costs, contract fields, warnings and a summary, and the app displays it for user review.

What data is transmitted?

• OCR text recognized from the scanned or imported document
• OCR confidence and text block metadata
• Document type, schema and prompt identifiers
• Basic document metadata such as source type and page count
• For optional provider contact suggestions, provider names and recognized contact fields needed for that check

Optional provider contact suggestions

If the app offers provider contact suggestions for cancellation or withdrawal drafts, provider names and detected contact fields may be processed through OpenAI API, including the OpenAI web search tool, to suggest possible contact details. These suggestions can be incomplete or wrong and must be verified by the user before anything is sent.

What is not transmitted by default?

• Original PDF or image files are not sent to AI by default.
• The full document archive is not stored on our servers by default.
• No advertising profile is created from contract data.
• We do not sell document data.

Third-party AI provider

We currently use OpenAI API for AI analysis. According to OpenAI's API data controls, API data is not used for training by default unless the account explicitly opts in. OpenAI may retain abuse monitoring logs and, for some API features such as Responses API, application state according to its data controls; default periods can be up to about 30 days. Users should not upload or analyze documents they are not allowed to process with a third-party AI provider.

Gateway logging

The AppFabrik AI gateway is designed to log status and usage metadata such as method, path, status code, duration, model, page count and OCR character count. OCR text and contract content are intentionally not logged by the gateway.

Implementation note

Some security and retention statements depend on the current app and gateway implementation. If the implementation changes, this page and the privacy policy should be updated before release.
